Client Profile:

The District operates several high schools in the Brentwood/Antioch area in the eastern portion of the Bay Area. Total enrollment in the District: 7,755 students. Competitive vendor had been working with the District for 19 years.


RMC telemarketing prospected the organization 14 months ago and set an appointment with the IT department. That was delayed for various reasons, one being the expected hiring of a new CBO. In the meanwhile, Martin Soares continued periodic follow ups by voice mail and email.
Telemarketing also lent a hand in the prospecting phase. Eventually, the new CBO allowed Soares access this past September.


At the initial meeting Soares requested all document management contracts and invoices (printing, copying, filing, faxing), ran the numbers and provided an preliminary assessment indicating a great likelihood signicant savings could be achieved, with the added benefit of increased efficiencies. This lead to gaining permission to conduct the full, detailed assessment which took 30 days, studying all volumes and output through a fleet of 64 copiers and 380 printers.

RMC Solution:

Based on the assessment results, a full proposal was submitted to the District, detailing ways to replace all the copiers with faster, lower cost-to-operate systems, as well as a proposal to manage all 380 printers at substantial savings. The incumbent could not offer the same savings level, or articulate solutions. Competitive pricing was achieved by piggybacking on an existing government contract. In real dollars, the proposal demonstrated the RMC solution would save the District almost $100,000 per year over five years, for a total savings of $500,000.


Delivery of 60 Canon copier/printer systems connected with scanning commenced the last week in November in 2012 with seamless delivery, install and training accomplished


Teachers and staff also gain the following benefits from the RMC solution as implemented:

  • Scanning capability so that documents can be sent to students electronically, reducing print volume
  • New systems use less energy, a Go Green consideration as well as cost savings
  • Upcoming uniFLOW software will enhance workflow, accounting, and control print costs even more

Soares reports this was a true RMC team effort involving everyone from technicians to the regional president, sales manager, delivery and logistics personnel in Pleasanton and Roseville, and sales management.
